JOB SUMMARY

The Front Office Assistant is responsible for supporting the day-to-day operations of NEX Sports Rehab’s front desk and ensuring a smooth and positive patient experience. The role involves assisting patients throughout their visit, managing appointments and payments, maintaining accurate documentation, and providing administrative support to facilitate efficient delivery of clinic services.

KEY RESPONSIBILITIES

Front Desk & Patient Services

  • Maintain a clean, organised and welcoming reception area.
  • Attend to patient enquiries through telephone calls, messages and email in a professional and timely manner.
  • Welcome and assist patients throughout their clinic visit, providing clear information and guidance where required.
  • Make follow-up and reminder calls to patients regarding upcoming appointments, recalls and other relevant matters.
  • Schedule, cancel and rearrange patient appointments according to clinic requirements.
  • Coordinate with clinicians and other relevant parties to ensure patients receive the necessary assistance and services.
  • Handle patient concerns and requests appropriately, escalating matters to the relevant personnel when necessary.

Administrative Support

  • Ensure patient files and case documentation are properly arranged and maintained.
  • Organise and file reports from completed appointments in the appropriate patient records.
  • Prepare and retrieve patient packages and relevant documents required for upcoming appointments.
  • Conduct regular checks to ensure package balances and records are consistent between the clinic system and physical documentation.
  • Process package-related requests such as refunds, extensions and adjustments in accordance with clinic procedures.
  • Perform general administrative duties including filing, photocopying, printing and document preparation.
  • Maintain accurate and up-to-date patient and package records.

Cashiering & Payment Handling

  • Register patients and prepare invoices based on services provided or products purchased.
  • Receive and process payments accurately through the approved payment methods.
  • Update package utilisation and deductions in both the clinic system and relevant physical records.
  • Prepare and submit daily collection records and cash for banking to the Clinic Manager.
  • Reconcile and submit credit card terminal reports and settlement records to the Clinic Manager.
  • Ensure all cashiering activities are completed accurately and in accordance with clinic policies and procedures.

Sales & Package Support

  • Assist clinicians and patients during the package selection process by providing relevant information on available services and packages.
  • Support the clinic team in promoting suitable treatment packages and services.
  • Assist with sales closure by addressing patient enquiries and providing appropriate information based on clinician recommendations.
  • Ensure patients understand the available options so they can make informed decisions regarding their selected packages or services.

Clinical & Operational Support

  • Where required, assist with basic clinical procedures under the direct supervision and instruction of the attending clinician.
  • Ensure appropriate coordination between the front desk, clinical team and other stakeholders to support patient requirements.
  • Attend staff meetings, training sessions and other clinic activities as assigned.
  • Contribute to clinic-level and organisation-wide improvement projects and initiatives.
  • Support corporate programmes and activities when required.
  • Undertake other duties and responsibilities assigned by management to support the smooth, efficient and effective operation of the clinic.

JOB SUMMARY

NEX Sports Rehab is seeking a passionate and dedicated Malaysian Female Physiotherapist to join our growing sports rehabilitation and physiotherapy team.

As a Physiotherapist, you will assess patients, identify movement and physical limitations, develop personalised treatment programmes, and deliver evidence-based physiotherapy interventions to support recovery, improve physical function and help patients return to their daily activities, work and sports.

This role is suitable for a physiotherapist who is passionate about sports injury rehabilitation, musculoskeletal physiotherapy, exercise rehabilitation and patient-centred care, and who wants to grow professionally within a progressive rehabilitation environment.

KEY RESPONSIBILITIES

Clinical Physiotherapy & Patient Care

  • Conduct comprehensive physiotherapy assessments to understand patients' physical conditions, functional limitations, pain and rehabilitation goals.
  • Develop individualised treatment and rehabilitation programmes based on clinical findings and patient needs.
  • Provide professional physiotherapy treatment for musculoskeletal, sports-related and other physical conditions within your scope of practice.
  • Monitor patient progress and modify treatment programmes according to clinical response and rehabilitation outcomes.
  • Educate patients on injury management, exercise, movement, recovery strategies and preventive care.
  • Guide patients on appropriate home exercise programmes to support recovery and long-term physical wellbeing.
  • Recommend and educate patients on suitable supportive or adaptive equipment, where clinically appropriate.
  • Provide care with professionalism, empathy and respect while maintaining a high standard of patient experience.

Sports Rehabilitation & Exercise Therapy

  • Deliver rehabilitation programmes designed to restore strength, mobility, flexibility, balance, coordination and functional performance.
  • Support patients recovering from sports injuries, musculoskeletal conditions, surgery and other physical limitations.
  • Assist patients in progressing safely from rehabilitation towards normal activities, exercise and sports participation.
  • Apply appropriate therapeutic exercise, manual therapy and other evidence-based physiotherapy techniques according to clinical assessment and treatment objectives.
  • Promote injury prevention, healthy movement and sustainable physical activity.

Multidisciplinary Collaboration

  • Work closely with other healthcare professionals involved in the patient's care to ensure coordinated rehabilitation.
  • Communicate and collaborate with medical practitioners, occupational therapists, chiropractors, surgeons and other relevant healthcare providers when required.
  • Involve family members and caregivers in rehabilitation planning where appropriate.
  • Refer patients to other healthcare professionals when their condition requires further assessment or specialised care.

Documentation & Administrative Responsibilities

  • Maintain accurate and timely patient records, treatment notes, assessment findings and rehabilitation plans.
  • Prepare clinical reports and other documentation required for patient care and organisational purposes.
  • Complete administrative responsibilities related to physiotherapy services and patient management.
  • Ensure patient information and clinical documentation are handled appropriately and confidentially.
  • Maintain proper records of treatment outcomes, patient progress and relevant clinical activities.

Professional Standards & Continuous Development

  • Practise physiotherapy in accordance with applicable Malaysian regulations, professional standards, ethical requirements and company protocols.
  • Maintain a strong commitment to continuing professional development and lifelong learning.
  • Keep up to date with emerging physiotherapy techniques, rehabilitation technologies, clinical practices and evidence-based treatment approaches.
  • Participate in internal training, workshops, courses and professional development activities.
  • Contribute to evidence-based initiatives and quality improvement projects aimed at enhancing patient outcomes and rehabilitation services.
  • Share relevant clinical knowledge and contribute to a culture of learning within the physiotherapy team.

Clinic Operations & Team Responsibilities

  • Support the Head of Department and senior physiotherapists in the smooth operation of rehabilitation services.
  • Follow clinical, operational and administrative procedures established by NEX Sports Rehab.
  • Assist in maintaining a safe, clean and professional treatment environment.
  • Ensure physiotherapy equipment, treatment areas and rehabilitation facilities are properly maintained and safe for patient use.
  • Participate actively in company meetings, events, training sessions and organisational initiatives.
  • Work collaboratively with colleagues from different departments as part of a multidisciplinary and team-oriented working environment.

REQUIREMENTS & QUALIFICATIONS

  • Minimum Bachelor's Degree in Physiotherapy or an equivalent recognised qualification.
  • Registered and eligible to practise as a physiotherapist in Malaysia.
  • Valid professional registration and practising requirements in accordance with applicable Malaysian regulations.
  • Fresh graduates are welcome to apply; experienced physiotherapists are encouraged to apply.
  • Strong interest in sports physiotherapy, sports rehabilitation, musculoskeletal physiotherapy or exercise rehabilitation will be an advantage.
  • Good communication and interpersonal skills.
  • Strong clinical reasoning, problem-solving and patient management abilities.
  • Passionate about delivering quality patient care and achieving positive rehabilitation outcomes.
  • Willing to learn, develop professionally and contribute to a growing physiotherapy team.
